What makes a good AGM venue?

An AGM has a different audience from a sales conference. Your members may include retired volunteers, tenants, families and long-standing supporters, some of whom only come once a year. They need to find the venue easily, park without fuss, reach their seat without stairs and hear every word of the chair’s report. If the meeting has to be quorate, every one of those details matters.

Maher Centre has been run since 1996 by Maher Community Association (Leicester) UK, a registered charity (1039128). As a charity ourselves, we understand how community and membership meetings work, from the registration queue to the vote count.

Who the hall suits

Running order

How does an AGM day run at Maher Centre?

An example of how organisations use the 12-hour booking. Your timings are your own.

Set up the room

Around two hours before doors. Rows of chairs, top table, lectern, screens and the registration desk go in.

Register members

Members park a short walk from the entrance. Set up sign-in and voting card desks by the doors so queues move quickly.

Hold the meeting

Chair’s report, accounts, resolutions and elections, with floor questions heard clearly over the PA.

Refreshments and close

Tea, lunch or a buffet from your caterer, then pack-down while our team handles the clean-up.

Prefer an evening AGM? Your 12-hour booking can start whenever suits you, and the free car park is floodlit for members leaving after dark.

Practical checklist

What should you plan for when booking an AGM venue?

Quorum and numbers

Book for your best-case turnout. Theatre style seats up to 1,500, so a bigger-than-expected attendance won’t leave members standing at the back.

Registration and voting

Allow space by the entrance for sign-in, proxy checks and voting cards. The open floor makes this easy to lay out.

Being heard

Staging for the top table is included. Decide how many microphones you need for the top table and floor questions, and tell us in advance.

Showing the numbers

Put the accounts and resolutions on the optional LED side screens or the large LED screen so everyone can follow.

Hybrid or recorded

If you are streaming or recording for remote members, bring your AV provider in early. Free Wi-Fi is included.

A quiet room

Two private en-suite dressing rooms can serve as a space for the board, tellers or guest speakers.

How do catering and quotes work for an AGM?

Maher Centre does not provide in-house catering. For tea and coffee on arrival, a sandwich lunch or a full meal after the meeting, choose a caterer from our partner network, who know the venue well, or bring your own caterer through our Partner Programme. Caterers use an industrial kitchen with four burners, a free gas supply and refrigeration. Beef and pork are not served on the grounds of the Maher Centre.

Many member organisations work to a tight budget and need to show value to their members. Every booking is quoted individually based on your date, layout and the extras you choose, so you only pay for what you need. Our price-match promise covers packages and optional extras, and the quote you receive is in writing.

Want to see the room before you commit? Tours are by appointment and take about 30 minutes. Bring your chair or company secretary along. Read more about charity and community events or our conference set-ups.

Common questions

AGM questions, answered plainly.

How many members can attend an AGM at Maher Centre?
Up to 1,500 seated theatre-style in one pillarless hall. If you want members at tables, for example with lunch or a dinner after the meeting, banquet rounds seat up to 1,000.
Is the venue suitable for older or less mobile members?
The venue is single-storey, so there are no stairs or lifts between the car park, the entrance and the hall, and members can park close to the door. If any members have specific access needs, tell us when you enquire and we will talk through the arrangements.
Can members ask questions from the floor?
Yes. The hall has a full PA system. Tell us how many microphones you need for the top table and for floor questions so we can plan the set-up with you.
Can we hold an evening AGM?
Yes. Every booking covers a full 12 hours, so you can start whenever suits you and an early-evening meeting after the working day is straightforward.
Can we serve refreshments or lunch?
Yes, through a caterer from our partner network or your own caterer via the Partner Programme. Maher Centre does not cater in-house. Beef and pork are not served on the grounds of the Maher Centre.
Can we show reports and accounts on screen?
The optional LED side screens and the large LED screen, around 7 metres wide, are ideal for annual reports, accounts and voting slides. Your own AV supplier is also welcome.
